Booking, Refund & Cancellation Policy

At The Football Clinic, we aim to provide flexible, high-quality coaching and development opportunities for young athletes. This policy explains how bookings, memberships, cancellations and refunds are managed across our programmes.

Booking Policy

By booking any programme, session, camp, coaching service or membership with The Football Clinic, you agree to the terms outlined below.

Places on all sessions, programmes, camps and memberships are subject to availability and are confirmed only once booking and payment have been received.

Some sessions and programmes operate with limited group sizes to maintain coaching quality, safety and player development standards. Early booking is recommended.

We offer a variety of booking options across our services, including:

  • Full programme/course bookings

  • Block bookings

  • Single-session bookings

  • Monthly subscription options

  • Membership packages

Availability may vary depending on programme type and venue capacity.

Participation in all activities requires appropriate behaviour, respect for coaches, other participants and facilities. We reserve the right to remove a participant from a session where behaviour repeatedly impacts safety, wellbeing or the experience of others.

Refund & Cancellation Policy

We understand that plans change and will always aim to be fair and supportive wherever possible.

  • General Booking Terms

Bookings for sessions, programmes, camps, coaching and memberships are generally non-refundable unless cancelled by The Football Clinic.

If a participant is unable to attend due to illness, injury, holiday, scheduling conflicts or change in circumstances, refunds are not normally available.

In exceptional circumstances, and entirely at our discretion, a credit or transfer may be offered for future use.

Missed sessions are non-refundable and cannot usually be transferred.

  • Full Programme Bookings, Block Bookings & One-Off Sessions

Bookings for programmes, camps, development days, blocks of sessions and individual sessions are generally non-refundable once confirmed.

If a participant is unable to attend due to illness, injury, holidays or changes in personal circumstances, refunds are not normally available.

Where possible and at our discretion, a credit or transfer may be offered in exceptional circumstances.

Missed sessions cannot normally be refunded or transferred.

  • Single Sessions, Coaching & Private Bookings

Where an individual coaching session, private booking or small group booking is cancelled with reasonable notice, we may offer a rearranged session subject to availability.

Late cancellations or non-attendance are non-refundable.

  • Monthly Subscription Plans

Where programmes are purchased through a monthly subscription, payments are collected automatically in line with the selected payment plan.

Subscriptions may be cancelled at any time through your account area or by contacting us.

Cancellation stops future payments and future access but does not entitle customers to refunds for sessions already delivered, missed or previously available during the active subscription period.

Any charges already processed remain non-refundable.

  • Annual Memberships / Unlimited Membership Plans

Annual or unlimited membership plans provide access to eligible sessions, programmes and activities during the membership period, subject to availability, advance booking requirements and programme capacity.

Membership does not guarantee access to sold-out sessions, camps or events, and advance booking may be required. Access to sessions remains subject to programme capacity and availability.

Reasonable usage limits may apply where necessary to ensure fair access, programme quality and availability for all participants.

Members must book onto sessions where instructed and follow any attendance or booking procedures communicated by The Football Clinic.

  • 14-Day Cooling-Off Period

Customers purchasing an annual membership have a statutory 14-day cooling-off period.

Where no sessions, camps, programmes or membership benefits have been attended or used, a full refund may be issued.

If any services are attended or used during the cooling-off period, any refund will be reduced proportionately to reflect the standard booking value of sessions, camps, programmes or services already accessed.

Refund calculations may use the equivalent public booking price of services attended outside of membership.

Where the value of services already used equals or exceeds the membership fee paid, no refund may be due.

After the cooling-off period, memberships are non-refundable.

Memberships are non-transferable and intended solely for the named participant.

  • Weather, Venue Issues & Circumstances Outside Our Control

Where sessions cannot safely proceed due to weather, venue closures, coach illness or circumstances outside of our reasonable control, we may provide:

  • A replacement session

  • A rearranged booking

  • A credit for future use

  • A refund where appropriate

The remedy offered will depend on the circumstances and nature of the booking.

Cancellation or Changes by The Football Clinic

The Football Clinic reserves the right to amend, reschedule, combine or cancel sessions, venues, coaches or programme formats where reasonably necessary due to operational, safety or unforeseen circumstances.

Where this materially impacts a booking, an alternative arrangement, credit or refund may be offered where appropriate.

Safeguarding, Behaviour & Participation

We are committed to providing a safe, inclusive and positive environment for all children and young people.

Participants are expected to behave respectfully and safely towards coaches and other attendees. We reserve the right to remove or suspend a participant where behaviour presents a safeguarding concern or negatively impacts the experience of others.

Parents/carers are responsible for informing us, prior to attendance where reasonably possible, of any relevant medical conditions, injuries, allergies or additional needs that may affect participation.
